Terms, Policies & Customer Information
Clear information about purchases, subscriptions, cancellations, refunds, delivery and privacy.
Terms & Conditions
Effective date: 28 September 2026. These terms apply to the PlantPulse website and PlantPulse software/services supplied by PlantPulse QR Solutions (Pty) Ltd in South Africa.
1. Services
PlantPulse provides QR-based industrial information and record-management software, including PlantPulse Operations, PlantPulse Spares, PlantPulse Transformers, PlantPulse Fleet and PlantPulse StatutoryCompliance. Features may be improved or updated over time. PlantPulse does not replace legally required inspections, competent-person duties, engineering judgement or statutory certification.
2. Accounts and customer responsibilities
Customers are responsible for the accuracy and lawfulness of information they upload, for controlling access to their account, and for ensuring that authorised users follow applicable workplace procedures. Customers must not use the service unlawfully, attempt to interfere with the platform, or upload content they do not have the right to use.
3. Pricing and payment
Prices displayed on the website are in South African rand (ZAR). The applicable price, billing period, taxes (including VAT if applicable), and any additional charge will be disclosed before payment. Paid subscriptions are billed according to the selected plan. Payment is subject to successful authorisation by the payment provider.
4. Subscription term
Unless a separate written agreement states otherwise, paid PlantPulse plans are monthly subscriptions. Customers may cancel in accordance with the Cancellation Policy below. Nothing in these terms limits a consumer's non-waivable rights under applicable South African law.
5. Availability and changes
PlantPulse aims to provide reliable access but does not guarantee uninterrupted availability. Reasonable maintenance, security updates and service changes may occur. Material changes affecting a paid subscription will be communicated where reasonably possible.
6. Intellectual property
PlantPulse branding, software, interface designs and original platform content remain the property of PlantPulse QR Solutions (Pty) Ltd or its licensors. Customers retain ownership of their own uploaded business data, subject to the rights needed for PlantPulse to host and process it to provide the service.
7. Liability
PlantPulse is an information and record-management tool. To the extent permitted by law, PlantPulse is not responsible for losses caused by inaccurate customer-entered data, failure to perform required inspections or maintenance, unauthorised account use, or decisions made without appropriate professional or technical judgement. This clause does not exclude liability that cannot lawfully be excluded.
8. Support and disputes
Customers should first contact info@plant-pulse.co.za so that PlantPulse can attempt to resolve the matter promptly. These terms are governed by the laws of the Republic of South Africa.
Refund Policy
PlantPulse aims to handle refund requests fairly and in accordance with applicable South African consumer law.
- If a duplicate or incorrect payment is confirmed, PlantPulse will arrange the appropriate refund.
- Where a statutory cooling-off or cancellation right applies, PlantPulse will honour that right and process any refund within the period required by law.
- Under the Electronic Communications and Transactions Act, a seven-day cooling-off right can apply to qualifying electronic service transactions; however, that cooling-off right does not apply where services began with the consumer's consent before the end of that seven-day period.
- Once a service has begun with the customer's consent, refund eligibility will depend on the circumstances, the service already supplied and applicable law.
- Approved card refunds will be processed back through the original payment method where required by the payment provider and will not exceed the original payment amount.
To request a refund, email info@plant-pulse.co.za with the customer/company name, payment date, amount, transaction reference and reason for the request. PlantPulse will acknowledge the request and communicate the outcome and expected processing time.
Cancellation Policy
Monthly PlantPulse subscriptions may be cancelled by sending a cancellation request to info@plant-pulse.co.za. Unless applicable law or a separate written agreement requires otherwise, cancellation will stop future renewal and the customer may continue using the paid service until the end of the already-paid billing period.
Where the Consumer Protection Act applies to a fixed-term consumer agreement, statutory cancellation rights and any legally permitted reasonable cancellation charge will take precedence over conflicting wording in this policy. PlantPulse will not contract out of rights that cannot lawfully be waived.
Cancellation of a subscription does not automatically delete customer data. Data export/retention arrangements will be handled according to the service configuration, applicable law and the Privacy Policy.
Delivery Policy
Software subscriptions are delivered electronically. After successful payment and completion of any required account verification/setup information, PlantPulse will provide or activate access as soon as reasonably possible, normally within two business days. If activation cannot be completed within the agreed period, PlantPulse will contact the customer.
PlantPulse is primarily a digital service, so no physical shipping charge applies to the software subscription itself. If optional physical items such as printed QR labels are offered and ordered separately, the price, delivery charge, delivery method and estimated delivery period will be disclosed before payment. Physical delivery is currently limited to locations agreed with the customer.
If PlantPulse is unable to supply a paid product or service, the customer will be notified and any refund due will be handled in accordance with applicable law and the Refund Policy.
Privacy Policy
PlantPulse QR Solutions (Pty) Ltd respects privacy and aims to process personal information in accordance with the Protection of Personal Information Act (POPIA) and other applicable law.
Information we may process
Account and contact details, company information, support communications, billing/transaction references, usage/security information, and information customers choose to enter into PlantPulse may be processed to provide and support the service.

Sharing
Information may be shared with service providers where reasonably necessary to host, secure, support or process payments for the service, or where required by law. PlantPulse does not sell customer personal information.
Security and retention
Reasonable technical and organisational safeguards are used to protect information. Information is retained only for as long as reasonably necessary for the purposes for which it was collected, contractual requirements, dispute resolution and legal obligations.
